We are currently seeking a highly organised and motivated individual to join our National Financial Planning practice as an IFA Administrator in their Worthing office.

Purpose of Role

To provide exceptional support to our Financial Advisers, ensuring that client documentation and requests are processed accurately and efficiently within the required time scales, in line with our compliance guidelines.

Key Responsibilities

  • Obtain illustrations, key features, and application forms from Platform Providers as required.
  • Compile client meeting packs with documentation such as valuations, client agreements, fact finds, risk questionnaires, and profiles for the Adviser to use at client meetings.
  • Post client documentation to clients or product providers as necessary.
  • Issue signed letters of authority and transfer of agency to providers, obtaining standard policy information and updating client policy records on Intelliflo Office.
  • Maintain accurate client personal details and policy information, updating on Intelliflo Office.
  • Prepare new business applications in accordance with our standard operating procedures and compliance handbook.
  • Deal with written, telephone, and electronic general enquiries for IFAs, colleagues, clients, and providers.
  • Provide timely and accurate information to clients, obtaining new business and existing policy information as required.
  • Maintain relationships and contacts with providers to ensure a professional service.
  • Deal with fee and commission queries from the Finance Department.
  • Produce accurate, regular, and ad-hoc client valuation schedules, inputting into Intelliflo Office.
  • Arrange amendments to encashment and withdrawal requests from existing client plans, informing clients via email where necessary.
  • Update Intelliflo Office client records with amendments.
  • Manage time effectively to ensure all work is processed, reviewing regular reports such as cash balance monitoring, pipeline, and weekly MI in line with expectations.
  • Operate and manage an effective diary within Intelliflo Office to plan and carry out activities in a timely manner.
  • Inform Advisers and the IFA Admin Manager of client-related events and issues in a timely manner.
  • Provide cover and carry out duties for other Administrators in the team, including projects such as Intelliflo Office, Platforms/Providers, Investment Committee, and New Business.

Experience/Skills Required

  • Computer literacy in Microsoft Office and other applications.
  • Excellent written and verbal communication skills.
  • Client-centric approach.
  • Organised and highly motivated individual.
  • Good industry knowledge.
  • Good attention to detail.
  • Accurate data entry and record-keeping skills.
  • Willingness to study towards professional qualifications (desirable but not essential).
