We are currently recruiting for a National Financial Planning practice seeking an IFA Administrator to join their team in their Worthing office.

Purpose of Role:

Provide high-quality support to Financial Advisers, ensuring client documentation and requests are accurately processed within the required timeframes and in line with the company's compliance guidelines.

Key Responsibilities:

  • Obtain illustrations, key features, and application forms from Platform Providers as necessary.
  • Compile client meeting packs containing documentation such as valuations, client agreement, fact find, risk questionnaire, and profile for the Adviser to use at client meetings.
  • Post client documentation to the client or product providers as appropriate.
  • Issue signed letters of authority (LOA) and transfer of agency (TOA) to providers, and obtain standard policy information, updating client policy records on receipt of information on Intelliflo Office.
  • Maintain accurate client personal details and policy information, updating on Intelliflo Office.
  • Prepare new business applications in accordance with the company's standard operating procedures and compliance handbook.
  • Deal with and respond to general enquiries for IFAs, colleagues, clients, and providers.
  • Provide clients with timely and accurate information, obtaining new business information and existing policy information from clients where required.
  • Maintain relationships and contacts with providers to ensure a professional service.
  • Deal with resulting fee and commission queries from the Finance Department.
  • Produce accurate, regular, and ad-hoc client valuation schedules, and input into Intelliflo Office.
  • Arrange for amendments to encashment and withdrawal requests from existing client plans as instructed by the Adviser, informing the client by email where appropriate.
  • Update Intelliflo Office client records with amendments.
  • Manage time effectively to ensure all work is processed, reviewing regular reports such as cash balance monitoring, pipeline, and weekly MI in line with expectations.
  • Operate and manage an effective diary within Intelliflo Office to ensure all activities are planned for and carried out in a timely manner.
  • Ensure Advisers and the IFA Admin Manager are informed of any client-related events and issues in a timely manner.
  • Provide cover and carry out duties for other Administrators in the team, in their absence, as necessary.

Experience/Skills Required:

  • Computer literate in Microsoft Office and other applications.
  • Excellent communication skills, both written and verbal.
  • Client-centric approach.
  • Organised and highly motivated.
  • Good levels of industry knowledge.
  • Good attention to detail.
  • Accurate data entry and record-keeping skills.
  • Willingness to study towards professional qualifications (desirable but not essential).
