Job Summary

We are seeking a skilled Facilities Co-ordinator to join our team at a contemporary art gallery in London. As a key member of the facilities management team, you will assist the Senior Facilities Manager in the daily running of services and administration.

About the Role

This is an exciting opportunity for a motivated individual with excellent organizational skills and attention to detail. The successful candidate will be responsible for maintaining employee and visitor safety, ensuring compliance with health and safety procedures, and providing a safe and comfortable environment for all.

The ideal candidate will have experience in facilities management, with a strong understanding of maintenance and repair procedures. They will also possess excellent communication skills, with the ability to work effectively with internal teams and external service providers.

Key Responsibilities
  • Support administrative tasks: assisting in the creation of digital file resources, audits, and record keeping for all building-related activities.
  • Internal and external communications: ensuring staff and service provider activity is coordinated appropriately.
  • Maintenance and repairs: performing weekly fire alarm tests and monthly emergency lighting tests.
  • Routine inspections: conducting regular inspections of public gallery spaces and staff areas, identifying and reporting any maintenance issues or hazards.
  • Hazards management: working closely with internal teams to manage hazards in the workplace.
  • Office moves and IT support: assisting with office or furniture moves, furniture assembly, and IT hardware installations.
  • Inventory management: managing facilities and IT inventory, record keeping, cleaning services, and maintenance supplies.
  • First-line support: providing 1st line support for facilities helpdesk enquiries.
