Clinical Operations Coordinator

About the Role
We are seeking a highly organized and detail-oriented individual to join our team as a Clinical Operations Coordinator. This role will be responsible for coordinating outpatient clinics, ensuring effective time management, and providing administrative support to our clinical teams.
Key Responsibilities
- Coordinate outpatient clinics, including liaising with consultants and administration teams to ensure staff and room availability.
- Ensure all relevant databases and patient information systems are up to date.
- Prepare case note folders and complete necessary documentation for all new patients.
- Ensure patients' notes are correctly completed with patient details.
- Ensure all correspondence and documentation is filed promptly and cross-referenced whenever necessary.
- Ensure relevant health records are available to the clinical team when required and anticipate demand wherever possible.
- Assist and actively participate in the process of patient tracking, including booking all necessary appointments, chasing results, monitoring waiting lists, and ensuring patients receive timely treatment up to the point of discharge.
- Prepare and collate statistical information as required and input to database if appropriate, in conjunction with Trust requirements.
- Provide general administrative services, including photocopying, filing, and other office routines.
- Receive and sort daily post, date stamp, and distribute as appropriate.
- Liaise with other Trust departments, GPs, and other healthcare agencies when required.
- Assist and help colleagues when needed.
- Provide cross-cover within the administration team during absence, including on limited occasions covering Reception.
Requirements
- Ability to communicate effectively, both orally and in writing.
- Ability to work accurately.
- Excellent organizational skills.
- Experience of prioritizing own work.
- Experience of working to deadlines and targets.
