Key Responsibilities:

  1. Compliance Management: Ensure timely management of the compliance inbox, processing all requests and documentation thoroughly with a sharp eye for detail.
  2. Tracking and Updates: Update tracking documents and process tasks from service complete to billing stage.
  3. Liaison and Communication: Liaise with internal engineering teams and contractors, and report and investigate on contractor performance with weekly calls if needed.
  4. Financial Management: Process finance reviews, including exception pool and OPO's, and ensure all works are planned in and completed on time.
  5. System Management: Use Smartsheet and CAFM system for booking in and remedials, and process notification of planned visit dates and update clients CAFM system and internal Smartsheet system.

Qualifications and Experience:

  1. Microsoft Office Skills: Microsoft Office working knowledge specific to Teams, Outlook, and Excel.
  2. Communication Skills: Good verbal and written communication skills.
  3. Smartsheet Knowledge: Smartsheet knowledge (preferred).
  4. FM Finance Experience: FM finance experience.
  5. Leadership Experience: Has been or working towards supervisor level in the FM industry.
  6. Compliance Background: Compliance background (not essential but preferred).

Accountabilities:

  1. Reporting: Reporting to Service Delivery & Performance Manager.
  2. Client Contact: Accountable day-to-day to the relevant client contacts.
  3. Compliance Documentation: Responsibility to process and monitor compliance documentation.
  4. Financial Element: Financial element - FM costs - receipting etc.
