Administrative Coordinator for Conveyancing Department

Owen Reed Ltd is seeking an experienced Administrative Coordinator for Conveyancing Department. As a key member of our team, you will provide administrative support on commercial and residential cases, working closely with our lawyers and solicitors.

Responsibilities:
  • Transcription of dictation files with high accuracy;
  • Taking of detailed telephone messages and responding accordingly;
  • Drafting and submitting conveyancing searches through online portals;
  • Creation of basic draft contracts, transfer deeds, and other documents as needed;
  • Amendment of draft contracts and other documents with track changes;
  • Preparation and submission of Land Registry applications;
  • Downloading of documents from the Land Registry Portal;
  • Obtaining of company documents from Companies House;
  • Registration of charges at Companies House online;
  • Submission of SDLTs online;
  • Presentation of report documentation for property purchases;
  • Solicitation of indemnity insurance policy quotes;
  • Management of calendars, including key dates such as completion dates, SDLT deadlines, and land registry search expiry dates;
  • Support for the telephone system by handling overflow calls from the switchboard;
  • Opening of new files and fulfillment of due diligence requirements;
  • Maintenance of filing systems, closure of files, archiving of documents, and performance of general administrative tasks;
  • Coordination of DX/Post delivery routes;
  • Cultivation of simple day-to-day correspondence and client interactions.
Compensation:

The estimated salary range for this position is £35,000 - £40,000 per annum, depending on location and experience.
