About the Role

We are seeking an experienced Administrative Assistant to join our team at Alliance Psychological Services Limited. As a key member of our administrative team, you will provide essential support to our therapists and staff, ensuring the smooth operation of our services.

Main Responsibilities

  • Provide administrative support to the Admin Lead and other team members, including taking minutes of meetings and disseminating to attendees.
  • Manage supervisor alerts on the clinical database and liaise directly with service leads/managers.
  • Ensure a professional customer-focused service is maintained with excellent communication.
  • Enter clinical and other data onto the Clinical Database (IAPTUS) in accordance with agreed procedures and guidelines.
  • Facilitate communication and effective operational functions both within the team and externally.
  • Participate in the organisation and improvement of administrative systems to ensure consistency across all teams.
  • Contribute to Team and Service development.
  • Present a good image of Alliance and the Child and Family Service, maintaining good working relationships both internal and external.

Requirements

  • NVQ Level 2 or equivalent in Administrative/Business subject.
  • Experience and understanding of database systems.
  • Excellent telephone and verbal communication skills.
  • Accuracy and attention to detail.
  • Understanding of confidentiality.
  • Experience of working within a busy environment within agreed timescales.
  • Ability to take minutes in meetings and disseminate to attendees.
