Job Overview

The role involves providing comprehensive administrative assistance within the Respiratory department, which includes managing patient appointments and procedures. Additionally, the position entails supporting electronic referrals, such as CPEX requests.

The candidate will also assist in coordinating patient appointments for various procedures and tests within the Lung Health service.

Responsibilities include scanning patient documentation and executing various administrative tasks as needed.

Key Responsibilities

1. Provide administrative support within the Respiratory department, including scheduling patient appointments and managing procedures, as well as handling electronic referrals like CPEX requests.

2. Facilitate and organize patient appointments for tests and procedures within the Lung Health service.

3. Assist with the scanning of patient records and documentation.

4. Ensure all tasks are completed to a high standard, adhering to departmental and organizational requirements for information governance, data protection, and confidentiality.

5. Organize and manage time effectively, prioritizing workload to meet service demands and deadlines.

6. Support the typing of clinic letters within the Respiratory department.

7. Address inquiries from service users, including patients and their representatives, while maintaining compliance with relevant legislation, policies, and procedures, demonstrating empathy and discretion, and accurately relaying messages as necessary.

8. Manage complex incoming correspondence, ensuring pertinent information is brought to the attention of clinicians and processed accordingly.

9. Coordinate and oversee patient referrals to other departments or hospitals for further treatment, investigations, or appointments as directed by clinicians.

10. Actively contribute to the enhancement of administrative services that support clinical operations and assist in the ongoing evaluation and improvement of administrative practices.

11. Promote a healthy, safe, and secure working environment for the administrative team.

12. Assist the Admin Team Leader in ensuring that necessary resources, such as stationery and equipment, are available in the work area.

13. Undertake any additional duties as required in line with operational needs.

14. Be prepared to work across multiple sites as needed.

Person Specification

Essential Qualifications

  • GCSE Maths or equivalent (Grade C)
  • GCSE English or equivalent (Grade C)

Desirable Qualifications

  • IT Qualification
  • Previous experience within the NHS
