Job Purpose

As a key member of the University of Glasgow's team, we are seeking a highly organized and detail-oriented individual to provide administrative support for our Doctoral Training Programme (DTP). The successful candidate will be responsible for managing the programme's day-to-day operations, ensuring efficient and effective administrative management and coordination of DTP Awards.

Main Duties and Responsibilities
  1. Monitor DTP budgets to prevent overspending, review financial reports, and provide regular updates to stakeholders.
  2. Produce detailed financial forecasts and budget reports for Principal Investigators, grant holders, and funding bodies.
  3. Lead the student recruitment and selection process, including preparing and advertising studentships, managing applications, and coordinating interviews.
  4. Provide administrative support to Principal Investigators and academics, developing and implementing effective administrative processes to enhance service delivery.
  5. Organize and clerk DTP committees, drafting agendas, collating papers, and taking minutes.
  6. Plan, coordinate, and deliver lab rotations, mini projects, DTP training programmes, and other events, evaluating feedback and implementing improvements.
  7. Act as the first point of contact for student queries, providing financial aid and resolving issues.
  8. Collaborate with academic and administrative colleagues to create programme handbooks and update them annually.
  9. Research, collate, and edit material for reports and documents.
  10. Establish a communication network for students, Principal Investigators, and supervisors across partner institutions.
  11. Ensure compliance with University procedures, regulations, and legislation.
  12. Provide administrative support to the DTP team, including recruitment, induction, events, and general administration duties.
Requirements
  • A1: Ability to demonstrate the competencies required for this role, acquired through personal development and progression in a similar related role.
  • A2: Extensive knowledge of developing and implementing administrative systems.
  • B1: Understanding of funding and issues affecting postgraduate research students.
  • B2: Good knowledge of relevant policies, legislation, and regulations.

  • E4: Process management experience in a complex organization.
Terms and Conditions
