Administrative Assistant

Job Summary:
GCB Recruitment is seeking an experienced Administrative Assistant to join their successful team on a part-time basis. As an Office Coordinator, you will be responsible for providing administrative support to the team, including office assistant/PA responsibilities and potentially assisting with the design team by researching policies and reviewing paperwork for planning applications.
Key Responsibilities:
- Liaise with consultants to seek quotes for works, including surveys required for planning submissions
- Chase consultants for delivery of information, relay consultant queries to the design team, etc.
- Potentially assist with planning research, review paperwork for planning applications, research policies, and draft design statements with the design team
- Diary management, book client meetings, send meeting reminders to clients
- Minute-taking at meetings, possibly across the wider business, including internal team meetings, and external meetings with clients/planners
- Administration and file management, including organizing existing computer filing systems, organizing and renaming existing files
- Inbox and correspondence management; sift mail for action, prioritize, etc.
- Help with office organization, greet guests and deliveries, make tea and coffee
Requirements:
- Minimum of 1 year in an administrative position
- Experience working within an architectural or construction environment (not essential)
- Strong typing skills
- Good interpersonal skills; both written and verbal
- Ability to work well with the larger team, as well as, on own solo tasks
- Highly organized and diligent
- Polite and pleasant telephone manner
- Willing to get stuck in to assist the wider team with their deadlines
