Job Summary:

GCB Recruitment is seeking an experienced Administrative Assistant to join their successful team on a part-time basis. As an Office Coordinator, you will be responsible for providing administrative support to the team, including office assistant/PA responsibilities and potentially assisting with the design team by researching policies and reviewing paperwork for planning applications.

Key Responsibilities:

  • Liaise with consultants to seek quotes for works, including surveys required for planning submissions
  • Chase consultants for delivery of information, relay consultant queries to the design team
  • Potentially assist with planning research, review paperwork for planning applications, research policies, and draft design statements with the design team
  • Manage diaries, book client meetings, send meeting reminders to clients
  • Take minutes at meetings, possibly across the wider business, including internal team meetings and external meetings with clients/planners
  • Administer and manage files, including organizing existing computer filing systems and renaming existing files
  • Manage inboxes and correspondence, sift mail for action, prioritize tasks
  • Assist with office organization, greet guests and deliveries, make tea and coffee

Requirements:

  • Minimum of 1 year of experience in an administrative role
  • Experience working in an architectural or construction environment is desirable but not essential
  • Strong typing skills
  • Good interpersonal skills, both written and verbal
  • Ability to work well with the larger team and on solo tasks
  • Highly organized and diligent
  • Pleasant telephone manner
  • Willingness to assist the wider team with deadlines
