About the Role

We are seeking an experienced and skilled Administrative Assistant to join our team at Coventry and Warwickshire Partnership Trust. As an Administrative Assistant, you will play a vital role in providing administrative support to our clinicians and managers, ensuring the smooth operation of our services.

Key Responsibilities

  • Provide administrative support to clinicians and managers, including preparing documents, managing records, and coordinating meetings.
  • Manage and prioritize own workload, as well as the workload of other team members, to ensure efficient and effective service delivery.
  • Develop and maintain effective working relationships with colleagues, service users, and external partners to ensure excellent customer service.
  • Contribute to the development and implementation of administrative procedures and policies to improve service delivery and efficiency.
  • Participate in training and development opportunities to enhance skills and knowledge in administrative support.

Requirements

  • Good general education, including GCSE English and Maths A-C.
  • QCF Business Administration Level 2 (or equivalent qualification/experience/willing to work towards completion of this).
  • QCF Customer Service Level 2 (or equivalent qualification/experience/willing to work towards completion of this).
  • Excellent communication/customer care skills, both written and verbal, demonstrating sympathy and compassion.
  • Advanced keyboard/IT skills, including Microsoft Office packages.
  • Ability to manage and prioritize own and other's workload, and use own initiative.
  • Understanding of working in a supervisory role.
  • Good organization skills and ability to multitask.
  • Good time management skills.
  • Good knowledge and understanding of reception/office procedures.
  • Ability to take and transcribe notes of meetings in a timely manner.
  • Ability to maintain relevant recording and information systems.
  • Ability to problem solve.
  • Understand confidentiality and apply the principles in everyday working practice.
  • Experience of working in a busy office/customer care environment.
  • Experience of working with a range of Microsoft Office packages.
