Job Description

This is a part-time Programme Administrator role within the Undergraduate Medical Education team at the NHS. The successful candidate will provide administrative support to the team, ensuring the smooth delivery of undergraduate medical education programmes.

Main Responsibilities
  • Provide administrative support to the Undergraduate Manager and Tutor, including coordinating curriculum delivery, timetabling, and room bookings.
  • Assist with the management of module content and materials on Moodle, ensuring accurate and timely updates.
  • Support the delivery of quality assurance activities, including student evaluation questionnaires and reports.
  • Liaise with Psychiatry clinicians and administrators in relevant NHS Trusts to coordinate placements and teaching activities.
  • Organise Core Teaching Weeks, Clinical Skills Circuit teaching, and Clinical and Professional Practice teaching, ensuring effective communication with staff and students.
  • Support the maintenance of teaching materials in Moodle and other online learning resources.
  • Work collaboratively with module leads and managers to integrate placements into the overall module timetables.
  • Liaise with individual firm leads and NHS secretaries to populate timetables with firm-specific teaching, including allocation of students to firms and clinics.
  • Support the quality assurance of placements, including reviewing student feedback responses and working with site module leads to improve student experience.
  • Organise formal teaching sessions, small group teaching, and tutorials, including arranging teachers and booking rooms as required.
  • Assist with OSCE examinations as needed.
  • Arrange firm inductions and start-of-block activities for students, including securing attendance of firm leads.
  • Allocate auditors and module tutors to each student, ensuring effective communication and support.
  • Liaise with MBBS Management about absences and students of concern, ensuring timely and effective support.
  • Communicate placements information and changes to students, including responding to emails and being available for face-to-face queries.
  • Arrange end-of-module sign-off for each firm, including booking rooms and collecting and collating feedback.
  • Assist with the compilation of assessment materials and recruitment of examiners, as required.
  • Support the Firm Leads and Manager with any other tasks required for the effective running and integration of high-quality placements.
Person Specification
  • 5 A-C GCSE (or equivalent) including English and Mathematics.
  • Experience of working within a large and complex organisation.
  • Course/programme administration, including dealing with student/customer enquiries.
  • Educated to A-level or with substantial equivalent experience.
  • Evidence of ongoing professional development.
  • Experience of working with the Higher Education Sector.
Skills and Abilities
  • Excellent IT skills in email, spreadsheets, word processing, and databases.
  • Excellent organisational ability.
  • Ability to work accurately and with thorough attention to detail.
  • Ability to work independently and proactively, using own initiative.
Working Pattern

This is a part-time role, working [insert number] hours per week. The successful candidate will be required to work flexibly, including occasional evenings and weekends, to support the delivery of undergraduate medical education programmes.

Contract

This is a permanent contract, with a salary of £29,460 to £31,909 per annum pro rata, including Outer London Allowance.
