Position Overview

We are currently seeking a full-time [ Hours] team member to enhance our Reception and Administrative Team.

Our operational hours are from 8am to 6pm, Monday through Friday.

Key Responsibilities

Appointment Management - Oversee and organize patient appointments utilizing our clinical management system.

Call Handling - Manage incoming communications, addressing patient queries, providing necessary information, and routing calls to the appropriate personnel.

Administrative Support - Execute various administrative functions, including updating patient files, managing documentation, and processing prescription requests.

Communication Facilitation - Act as a bridge between patients, healthcare professionals, and clinical staff, ensuring effective and clear communication.

Issue Resolution - Proactively address and resolve patient concerns and inquiries in a courteous and timely manner.

Job Duties

Responsibilities include:

The responsibilities of the Reception and Administration team members may encompass the following tasks, which may be adjusted as needed based on operational demands:

  • Opening and securing practice premises while adhering to safety protocols.
  • Monitoring and managing the appointment scheduling system.
  • Processing requests for appointments, visits, and consultations, ensuring proper routing to healthcare providers.
  • Handling incoming and outgoing correspondence.
  • Taking messages and relaying information as necessary.
  • Organizing and retrieving documentation.
  • Managing prescription requests in accordance with established guidelines.
  • Entering and processing data in compliance with practice procedures.
  • Engaging with patients and other healthcare team members as required.
  • Maintaining cleanliness and organization in consulting areas.
  • Providing clerical support to practice staff as needed, including data entry and document management.
  • Managing clinical waste appropriately.
  • Ensuring the reception area is tidy and welcoming.

Candidate Profile

Required Experience

  • Previous experience in a receptionist or administrative role.

Preferred Experience

  • Background in primary care settings.
  • Familiarity with healthcare reception duties.
  • Knowledge of clinical management systems.
  • Proficiency in Microsoft Word and Excel.

Educational Qualifications

Required

  • GCSEs in English and Maths at grades A to C.
