Job Summary

This is an exciting opportunity to join Northampton General Hospital as a Medical Secretary, providing administrative support to the Clinical and Senior Administrative Teams. As a key member of the team, you will be responsible for ensuring the smooth and efficient running of the department, providing a comprehensive clinical secretarial service to enable the team to carry out their duties effectively.

Main Responsibilities
  • Provide a comprehensive clinical secretarial service to the Clinical and Senior Administrative Teams, ensuring efficiency in patient care.
  • Ensure all correspondence for the Clinical and Senior Administrative Teams, including clinical letters, discharge summaries, medico-legal reports, and results, are typed and dispatched promptly.
  • Provide the focal point of communication for all medical, professional, and allied medical staff, both within the Trust and with external organizations, and patients, using judgment to facilitate a successful outcome of all enquiries.
  • Deal with telephone and face-to-face enquiries from patients, relatives, carers, and all staff groups, providing information, directing, and prioritizing queries as appropriate, to ensure efficiency and effectiveness of service delivery.
  • Provide cross-cover within the main theatre reception area to ensure the smooth and efficient running of the department.
  • Oversee the patient pathway and ensure that all necessary appointments, including outpatients, clinics, waiting lists, etc., are arranged on time, ensuring that clinics are utilized to capacity, diagnostics and tests are processed as requested, and that patients receive timely treatment, meeting the Trust and national standards.
  • Use the relevant Trust databases and patient administration systems, ensuring that all data is correct and up-to-date.
  • Ensure confidentiality is maintained in all communications and that documents and other sensitive information are secure at all times.
  • Contribute to the development of the Directorate, maintaining close cooperation and liaison with team members and supporting the efficient functioning of the Trust as a whole, as required.
  • Maximize the use of innovative IT systems.
Person Specification
  • Minimum 3 GCSEs at Grade C or above, including English or equivalent.
  • RSA 3, Certificate in Medical Secretarial Studies or extensive secretarial/administrative experience.
  • Desirable: AMSPAR, BSMS Qualification, NVQ3 Administration.

  • Very good written and verbal communication skills.
  • Courteous, tactful, and efficient telephone manner.
  • Experience of minute-taking.
  • Specialized functional and medical terms acquired through qualification or extensive experience.
  • Specialist knowledge related to the relevant medical or surgical specialty.
  • Knowledge or administrative and secretarial practice.
  • Proficient in Microsoft packages, including Word, Excel, Outlook, and PowerPoint.
  • Experience of working in the NHS.
  • Experience of working in a busy office environment.
  • Experience of database systems.
  • Planning and organizational skills.
  • Advanced keyboard skills.
  • Analytical and judgment skills for problem-solving.
  • Ability to work well as part of a team.
Desirable Skills and Qualifications
  • Experience in working with Patient Administration Systems, including CAMIS.
  • Specialist knowledge related to the relevant medical or surgical specialty.
  • Knowledge/awareness of 18-week RTT.
