Role Overview:
The HR Operations team at the Royal College of Art is dedicated to delivering exceptional operational support throughout the employee lifecycle, ensuring outstanding service across various College communities. This team is tasked with the management and administration of HR operations, which includes drafting employment contracts and correspondence, addressing inquiries through the service desk platform ServiceNow, processing sickness absences, and managing probation and appraisal processes. Furthermore, the team oversees payroll management using the HR/Payroll System iTrent, ensuring precise data entry into employment records, establishment control, and the reporting of people analytics. The HR Operations team also handles the engagement, onboarding, and compensation of casual workers.
Key Responsibilities:
- Customer Service: Serve as the primary point of contact for inquiries from callers and visitors to the HR department, ensuring the highest standards of customer service and professionalism.
- HR Policies & Procedures: Cultivate a comprehensive understanding of the College's HR policies and procedures. Provide initial support and guidance for staff and line managers on standard HR issues (e.g., staff probation, appraisals, annual leave, sickness reporting, pay and benefits, parental leave), escalating more complex inquiries to specialized HR colleagues.
- Payroll Administration: Ensure the accurate and timely processing of payroll information to the College's outsourced payroll provider, collaborating with Finance colleagues as necessary. Utilize standard reporting tools in iTrent to generate regular management information reports for the HR management team and other colleagues upon request.
- Appointments & Claims: Manage the processing of appointments and claims for casual workers in accordance with College procedures, advising on pay rates, verifying right to work, and updating relevant departments about the status of casual workers while ensuring compliance with timesheet and payroll deadlines.
- Employee Records: Administer timely updates to employee records and systems, including contract modifications and leaver processes (e.g., confirming changes, resignations, retirements, cessation of fixed-term contracts, organizing exit interviews). Oversee probation reviews, sickness records, and annual leave calculations.
- Administrative Support: Provide administrative assistance to colleagues during periods of increased workload. Regularly support HR Heads of Service with administrative tasks related to their specific areas of expertise. Assist with note-taking during HR-related meetings.
- Document Management: Conduct regular filing of employee records and HR documents in both paper and electronic formats. Support the Head of HR Operations in the implementation of new processes, systems, and document management strategies.
Qualifications and Skills Required:
- Education: Relevant qualifications in HR or a related field.
- Experience: Prior experience in HR administration or a comparable role.
- Technical Skills: Proficiency in HR/Payroll systems (preferably iTrent) and standard office software.
- Interpersonal Skills: Exceptional customer service and communication abilities.
- Organizational Skills: Strong administrative and organizational capabilities with a keen attention to detail.
- Analytical Skills: Competence in managing, manipulating, and presenting HR data effectively.
- Confidentiality: Capacity to handle sensitive information with discretion.
