Job Overview

We are seeking a dedicated and adaptable individual to join our administrative team within the Rheumatology Department. This role is pivotal in ensuring the delivery of exceptional patient care through effective administrative support. Key Responsibilities

As an Office Coordinator for the Rheumatology Team, you will play a crucial role in maintaining the smooth operation of the department. Your responsibilities will include:

  • Serving as a friendly and professional first point of contact for patients and healthcare professionals.
  • Managing incoming calls and emails with sensitivity, particularly when addressing the concerns of distressed or confused patients.
  • Accurately recording and maintaining patient information within hospital IT systems.
  • Assisting in the organization of clinics and appointments, ensuring efficient administrative processes.
  • Coordinating patient admissions for procedures, liaising with relevant departments and informing patients of arrangements.
  • Communicating with GPs and other referrers to gather necessary information for clinicians.
  • Ensuring timely distribution of clinical correspondence while adhering to Trust protocols.
  • Scanning and uploading documents to the electronic patient record system promptly.
  • Managing incoming mail and maintaining the supply of stationery and patient information materials.
  • Providing support to colleagues during absences and participating in departmental meetings to enhance service delivery.

Essential Qualifications

Candidates should possess:

  • GCSEs in Maths and English at Grade C or above or equivalent qualifications.
