Job Overview

The Facilities Support Specialist plays a crucial role in ensuring a welcoming and efficient environment for all users of the University of Glasgow's facilities. This position is centered around delivering exceptional customer service, maintaining safety and compliance, and supporting various operational activities.

Key Responsibilities

  • Customer Engagement: Provide proactive and friendly assistance to all building users, ensuring a high level of visibility and approachability. Actively resolve issues to enhance the overall customer experience.
  • Building Support: Offer comprehensive support for various activities, including guiding users within the building and facilitating access to services. Assist with reception duties and provide information as needed.
  • Event Setup: Manage room bookings and prepare spaces for events, ensuring furniture and equipment are arranged according to specifications. Collaborate with colleagues to ensure smooth operations during university events.
  • Health and Safety: Lock and unlock premises according to established protocols, serve as a Fire Warden, and respond to emergencies, including administering first aid when necessary.
  • Maintenance Coordination: Report maintenance issues proactively and assist in the coordination of contractors to minimize disruption to building operations.
  • Compliance Checks: Conduct regular inspections to ensure a safe working environment, maintaining accurate records of compliance activities.
  • General Upkeep: Ensure the cleanliness and safety of the facilities, including waste management and addressing any hazards that may arise.

Qualifications and Skills

  • Demonstrated experience in a similar role or relevant qualifications.
  • Strong understanding of facilities management and health and safety regulations.
  • Excellent communication skills, both written and verbal, to interact effectively with diverse groups.
  • Ability to work independently and as part of a team, demonstrating flexibility and a proactive approach.
  • Basic IT skills, including proficiency in MS Office, to support reporting and record-keeping.
