The Facilities Support Specialist plays a crucial role in ensuring a welcoming and efficient environment for all users of the University of Glasgow. This position involves a diverse range of responsibilities focused on customer service, operational support, and maintenance compliance.
Main Responsibilities
Customer Service
- Provide exceptional, customer-oriented assistance to all building users, ensuring a visible presence and proactive resolution of issues to enhance the overall experience.
- Uphold a positive representation of the University by adhering to its values and maintaining a professional appearance.
- Facilitate access to services and information, including reception duties and support for various events.
- Assist with Audio Visual equipment and Lecture Theatre setups, offering guidance and first-line support to staff.
- Maintain effective communication with colleagues, utilizing two-way radios in designated areas.
Porterage and Setup
- Oversee room bookings and prepare spaces for events, including furniture arrangement as per specifications.
- Manage pedestrian flow during events to ensure safety and efficiency.
- Set up rooms for examinations and events, coordinating the delivery and collection of necessary materials.
- Collaborate with team members to support University functions and ensure seamless operations.
- Work in conjunction with other departments to maintain high service standards.
Maintenance, Health & Safety Compliance, and Security
- Responsible for securing premises by adhering to access control policies and managing alarm systems.
- Act as a Fire Warden and assist in emergency evacuations as trained.
- Serve as the first responder in emergencies, providing first aid as necessary.
- Report maintenance issues proactively and monitor resolution progress.
- Ensure cleanliness and safety of the facilities, including waste management and compliance with health and safety standards.
- Coordinate with contractors to minimize disruption to daily operations.
Occasional Duties
- Conduct regular safety checks to maintain a secure working environment.
- Assist with cleaning and maintenance tasks as needed, ensuring the facility remains safe and presentable.
- Perform minor maintenance tasks and update documentation as required.
- Implement safety measures during adverse weather conditions.
Qualifications and Skills
Essential:
- Demonstrated experience in a similar role or relevant qualifications.
- Strong understanding of facilities management and health and safety regulations.
- Excellent communication skills and a customer-focused approach.
- Ability to work independently and as part of a team.
- Proficiency in IT applications, including MS Office.
Desirable:
- Valid driving license and knowledge of health and safety legislation.
- Interest in the range of services provided by the University.
