Team Coordinator

We are seeking a highly organized and detail-oriented Team Coordinator to join our team at Fire Design Solutions. As a key member of our operations team, you will be responsible for providing administrative support to our Installation and Maintenance departments.
Key Responsibilities- Liaising with Colleagues and Clients
You will be the primary point of contact for our Installation and Maintenance departments, ensuring seamless communication with colleagues and clients. This will involve coordinating tasks, answering queries, and resolving issues in a professional and courteous manner.
Order Management and AdministrationYou will be responsible for accurately raising orders, invoices, and debt recovery, ensuring that all financial transactions are processed efficiently and effectively.
General AdministrationYou will provide general administrative support, including photocopying, filing, and data entry, to ensure that our operations run smoothly and efficiently.
Pre-Qualification Questionnaires and SourcingYou will be responsible for completing Pre-Qualification Questionnaires (PQQs) and sourcing costs and ordering stock from external suppliers, ensuring that all necessary documentation is completed accurately and on time.
Data Input and Job AllocationYou will input data into our internal systems, including contracts and job sheets, and assist in the allocation of jobs on a weekly basis.
Vehicle Maintenance and AdministrationYou will be responsible for organizing vehicle maintenance, including servicing, MOTs, driver checks, hire vehicles, fleet insurance, and various accounts, ensuring that all necessary documentation is completed accurately and on time.
Requirements- Excellent Communication Skills
You will possess excellent verbal and written communication skills, with the ability to liaise with all levels of the business and external clients in a confident and professional manner.
IT Skills and Time ManagementYou will be proficient in Microsoft Office, including Word, Excel, and Outlook, and possess strong time management skills, with the ability to prioritize tasks and meet deadlines.
GCSE Maths and EnglishYou will hold GCSE Maths and English (Grade C/4 or above) and have proven work experience as a Team Coordinator, Administrator, or similar role.
Familiarity with the Construction IndustryFamiliarity with the construction industry is preferred but not essential.
