Job Title: Team Administrator

FDS Contracting LTD is a leading specialist in the design, installation, and maintenance of smoke ventilation systems. We are seeking a highly organized and detail-oriented Team Administrator to join our sales and estimating department at our head office in Greenhithe, Kent.

Key Responsibilities:
  • Liaise with team members and clients via telephone, email, and Microsoft Teams to ensure seamless communication and collaboration.
  • Arrange meetings between sales and other departments to facilitate effective teamwork and decision-making.
  • Coordinate client meetings and entertainment for the sales team to build strong relationships and drive business growth.
  • Process enquiries, download and store information accurately, and respond to client requests in a timely manner.
  • Raise orders and send acknowledgement letters to clients, ensuring a high level of customer satisfaction.
  • Input data into internal systems and spreadsheets related to new orders, maintaining up-to-date records and reports.
  • Perform general administrative tasks, such as scanning, filing, and processing expenses, to maintain a well-organized and efficient office environment.
  • Assist with CRM and sales forecasting reports to provide valuable insights and support business growth.
  • Process client surveys and feedback to identify areas for improvement and enhance customer satisfaction.
  • Complete Pre-Qualification Questionnaires (PQQs) to ensure compliance with industry standards and regulations.
  • Perform miscellaneous administrative tasks as required to support the sales and estimating department.
Requirements:
  • Excellent verbal and written communication skills to effectively interact with team members and clients.
  • Proficient IT skills, particularly in Microsoft Office, including Word, Excel, and Outlook, to manage administrative tasks and data entry.
  • Ability to work in a fast-paced environment, prioritizing tasks and meeting deadlines to ensure seamless operations.
  • Confident, empathetic, calm, and impervious when interacting with clients, providing exceptional customer service.
  • Strong time management skills to prioritize tasks and meet deadlines, ensuring a high level of productivity and efficiency.
