About the Role:

We are seeking a part-time on-site Administrative Coordinator to support the CEO at Metalchemy. The successful candidate will play a crucial role in delivering high-level administrative support, managing expense documentation, facilitating communication, and providing comprehensive administrative assistance.

Key Responsibilities:

  • Oversee the organization and management of the CEO's calendar, communications, and travel arrangements. Handle HR-related tasks such as employee onboarding, maintaining personnel records, and managing office operations, including taking meeting minutes and drafting agendas, while preparing reports and presentations to ensure efficient daily operations.
  • Assist in the planning, execution, and monitoring of significant projects. Serve as a communication link between the CEO and internal teams, ensuring effective collaboration and timely progress on various initiatives.
  • Provide personal assistance to the CEO by managing personal responsibilities, organizing the social calendar, and handling sensitive matters with confidentiality, ensuring a seamless integration of personal and professional obligations.
  • Support and manage the startup's social media strategy, including content creation, scheduling, and audience engagement, to enhance brand visibility and align with marketing objectives.

Qualifications:

  • A Bachelor's or Master's degree in Business Administration, Management, or a related discipline.
  • 2-3 years of experience in an executive assistant or administrative capacity, ideally within a fast-paced or startup setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), project management software, and familiarity with data analysis tools.
  • Knowledge of health and safety regulations applicable to office environments.
  • Strong project management and budgeting abilities, essential for overseeing multiple projects and managing resources effectively.
  • Exceptional written and verbal communication skills, with a strong capability to handle confidential information, coordinate with diverse stakeholders, and adapt to evolving priorities.
