The Role

We are seeking a highly skilled Personal Executive Assistant to deliver essential executive and administrative support to a Senior Leadership Team and Director.

The ideal candidate will be office-based, adept at managing competing priorities and demonstrating quick thinking. Responsibilities will include providing effective high-level executive assistance, which encompasses work prioritization, diary management, meeting coordination, communication, document preparation, quality assurance, and governance. It is crucial to ensure that all administrative tasks, planning, and coordination of work streams are executed efficiently.

Key Responsibilities:

  • Serve as the primary point of contact for the Director and Assistant Directors, ensuring the smooth operation of their offices in their absence.
  • Uphold the highest standards of confidentiality and compliance with policies and procedures.
  • Manage diaries by scheduling, prioritizing, and coordinating appointments, travel arrangements, and meeting documentation.
  • Oversee correspondence, tracking incoming and outgoing communications, ensuring timely responses.
  • Review and prioritize incoming correspondence, drafting responses as necessary, and ensuring deadlines for reports, reviews, and budgets are met.
  • Maintain effective communication and foster working relationships with key partners and stakeholders at an operational level, including the organization’s senior management team and relevant internal and external stakeholders.
  • Provide guidance and support to stakeholders as needed.
  • Conduct research and perform additional tasks as required.
  • Attend designated meetings, taking notes, drafting minutes, and following up on action items as necessary.

This role is ideal for a collaborative team player who is adaptable to the needs of the team and the organization, possessing a proactive attitude. As part of a support staff group, you will work closely with other Personal Assistants, providing assistance during peak periods or in their absence.

The successful candidate will exhibit a customer service-oriented mindset, possess excellent technical skills, and stay informed about current and emerging technologies. Experience in delivering exceptional administrative support is essential, along with the ability to work independently while maintaining dedication in a fast-paced, highly professional, and confidential environment.
