About the Role

We are seeking a highly skilled Billing Operations Manager to join our finance team at HelloSelf, a mission-driven organization providing innovative video therapy and coaching services.

This is a full-time, permanent position that requires flexibility to work in our London office once a week. As a Billing Operations Manager, you will play a vital role in supporting our financial success by managing the timely and accurate processing of daily Sales invoices, closing billing by Working day 2, and answering billing queries in a timely manner.

Key Responsibilities
  • End-to-end Billing ownership: Manage the timely and accurate processing of daily Sales invoices and close billing by Working day 2, ensuring accuracy and consistency of invoice processing.
  • Own customers database: Add and update contracts, pricing matrices, and update change in funder to ensure accuracy and consistency of invoice processing.
  • Revenue: Complete monthly Revenue and Bank reconciliation, ensuring accurate financial reporting.
  • Financial Reporting: Prepare reporting such as weekly Aged receivables, Cash inflow forecast, Bad debt provisions for review by the Finance Controller.
  • Collaborate with cross-functional teams: Work closely with Sales, Operations, and Tech teams, as well as external stakeholders such as Insurance providers.
  • Manage finance receivables central email inbox: Assign responsibilities to others in the team, deal efficiently with customer queries, provide responses and resolutions where required, and follow up to ensure satisfaction.
  • Assist with the collection of company debt: Achieve cash collection targets by identifying and pursuing outstanding debts.
  • Process Improvement: Identify areas for process improvement within the finance function, implement new systems, processes, and methodologies to enhance efficiency and accuracy.
About You
  • Bachelor's degree in finance, accounting, or a related field; ACA, ACCA, or CIMA certification (part or full).
  • Minimum 5 years' experience in Billing, preferably in a technology or medical-based business.
  • Strong knowledge of accounting principles, financial analysis, and reporting.
  • Proficient in using Xero, Google sheets, and Microsoft Excel.
  • Excellent attention to detail, analytical skills, and the ability to handle sensitive and confidential information.
  • Strong communication skills, with a high degree of empathy, to communicate with our members, some of whom may be vulnerable.
