Position Summary:

We are in search of a Governance Officer to deliver proficient and effective assistance to all operations related to the Trustee Board and Council. This position is vital for the seamless functioning of the Institution and the achievement of our strategic goals.

This role is full-time and currently supports a hybrid working environment.

Key Responsibilities:

Client Engagement

  • Collaborate with candidates to create materials for Trustee Board and Council election ballots.
  • Support the Governance Manager in facilitating the ICE ballot processes.
  • Ensure precise preparation of the annual register of interests.
  • Communicate with Trustees to gather their related party transactions.
  • Provide guidance on the interpretation of the Royal Charter and By-laws.
  • Coordinate arrangements for the annual Trustee Board Strategy Meeting.
  • Assist in crafting confidential citations for Honours.
  • Offer first-line advice on Governance inquiries.
  • Address ad-hoc inquiries from the President, Vice Presidents, Trustees, Council members, and ICE staff.

Operational Support

  • Deliver effective committee support to the Trustee Board and Council.
  • Oversee the procurement of iPads for Trustees and Council members.
  • Maintain and update biographical information of Trustees and Council members.
  • Assist in coordinating the annual review of ICE committees.
  • Prepare and distribute materials for the annual Council Calendar and Committee booklet.
  • Review and sustain a five-year plan for potential Honours candidates.
  • Support the execution of corporate governance matters and the preparation of changes to the Royal Charter and By-laws.
  • Contribute to projects aimed at enhancing or developing the Governance or Administration of the ICE.

Financial Oversight

  • Monitor and process expense claims from Trustees and Council members.
  • Track costs associated with the Trustees Annual Strategy meeting.
  • Facilitate the registration of new Trustees and Council members on the ICE's Corporate Travel Portal.
  • Gather information on Trustees/Council members' annual travel patterns.

Candidate Profile:

  • Strong understanding of committee protocols, governance, and decision-making processes.
  • Excellent written and verbal communication skills in English.
  • Intermediate proficiency in Microsoft Office Suite and MS Teams, along with minute-taking capabilities.
  • Ability to foster positive working relationships, especially with trustees and member volunteers.
  • Experience in committee practices, including minute writing and task management.
  • Exposure to Governance or Secretariat Teams, managing data systems, and working with senior executives is advantageous.
  • Exceptional time management, planning, customer service, communication skills, attention to detail, teamwork, discretion, and a proactive approach to improving systems and processes.
