Position Overview

We are pleased to announce an opportunity for a dedicated and experienced Lead Administrative Officer to become a vital part of our team at Cornwall Partnership NHS Foundation Trust.

The successful candidate will possess substantial administrative expertise and will be responsible for delivering clerical assistance to essential departments within our organization.

Flexibility to work across various locations may be required.

Candidates should demonstrate exceptional communication abilities, a proactive attitude, and proficiency in utilizing computer systems following training.

A commitment to mastering all facets of the administrative role and the capacity to maintain composure in high-pressure situations are essential. Additionally, the candidate must uphold a consistently high standard of performance to ensure effective service delivery.

The selected individual will also be expected to provide coverage for colleagues during periods of absence.

Key Responsibilities

  • Collaborate with the administrative team to perform a variety of clerical tasks, supporting the main reception, general office, and various departments.
  • Manage incoming calls and emails, prepare documentation for a range of appointments, and coordinate patient transport services.
  • Register and schedule patients in the appropriate databases for various departments.
  • Accurately document departmental activities, ensuring timely processing of admissions and discharges in line with organizational policies.
  • Deliver outstanding customer service by addressing telephone inquiries promptly and accurately.
  • Assess and prioritize tasks effectively, adapting to daily changes in workload.
  • Contribute positively within a team environment, enhancing overall team performance.
  • Assist the Business Support Supervisor in ensuring comprehensive coverage across all administrative functions.
  • Exhibit excellent written and verbal communication skills.
  • Support with facility-related issues, incident documentation, risk assessments, and compliance matters.
  • Aid in data reporting and compilation efforts.
  • Assist in organizing meetings, preparing agendas, and documenting minutes.
  • Be open to covering additional locations as needed.

Qualifications and Experience

Essential

  • NVQ Level 2 in Business or an equivalent administrative qualification, with a commitment to pursuing NVQ Level 3.
  • RSA Level 3 or equivalent certification.

Desirable

  • Previous experience in healthcare or NHS administration.

Skills and Competencies

Essential

  • Proven experience in supervising and developing staff, including performance management.
  • Strong communication skills.

Knowledge and Abilities

Essential

  • Proficiency in Microsoft Office applications or equivalent software.
  • Experience in an administrative environment, including diary management and meeting organization.
