Position Overview

Fund Operations Team Leader

Gibbs Hybrid is seeking an experienced leader for the Fund Operations division. This role involves a blend of direct management, process enhancement, and strategic oversight. The successful candidate will oversee various operational tasks including Fund Account Manager openings, AML due diligence for fund managers, share class conversions, and the upkeep of an internal service platform. Additionally, the role includes evaluating and refining processes to boost efficiency across teams.

Key Responsibilities
  • Deliver a consistent level of client service, ensuring all service expectations are met or surpassed.
  • Collaborate with fund managers while leading the team responsible for client onboarding and service.
  • Oversee the team managing client account openings and the transfer of accounts, including due diligence.
  • Formulate policies and procedures to ensure the output meets and exceeds quality benchmarks.
  • Identify and implement enhancements to processes for the benefit of all stakeholders.
  • Recruit, guide, inspire, and develop team members, maximizing their contributions and professional growth.
  • Establish departmental budgets and manage resource allocation effectively.
  • Create strategic plans for team operations.
  • Ensure all client inquiries are addressed and resolved in accordance with expectations, maintaining high service standards.
  • Maintain control models for the department, generate management information, and monitor key risk indicators to minimize regulatory breaches.
Essential Qualifications
  • Proven experience in team and operations management.
  • Strong understanding of fund management principles.
  • Ability to implement improved working methods and agile practices.
  • Experience in people management and team leadership.
  • Expertise in enhancing client efficiencies.
  • Management experience in client onboarding, account opening, AML/KYC, due diligence, and account transfers.
  • Ability to motivate and lead teams towards process improvements.
  • Direct experience with a variety of employee relations activities.
  • Robust operational experience in a related financial services field.
  • Proficient systems skills, with the ability to define management information and manipulate data (preferably intermediate Excel skills).
