Job Overview

We are seeking a highly organized and detail-oriented Programme Administration Coordinator to join our team at DiverseJobsMatter. As a key member of our team, you will be responsible for the administration and organization of our in-person and online training events, ensuring that our office runs smoothly and efficiently.

Key Responsibilities
  1. Event Administration: Day-to-day administration of our large-scale training programmes, including booking trainers, creating schedules, distributing joining instructions and logistical information.
  2. Client Liaison: Liaising with client contacts to set up logistics for training events and sharing information with the trainer team to ensure a seamless delivery.
  3. Travel Arrangements: Booking hotels for international travel and supporting the trainer team with ad-hoc travel arrangements.
  4. Coaching Administration: Administration of 1:1 coaching sessions, managing invites and diaries.
Programme Delivery
  1. Technical Support: Acting as a technical host for virtual training courses, opening links, putting participants into breakout rooms and spotlighting contributors.
  2. Trainer Support: Supporting the Creative Directors with administration of recruitment, onboarding and development initiatives for our international trainer community.
  3. Finance Administration: Collating expenses receipts and summaries.
Office Administration
  1. Office Support: Answering the main business phone line, buying office supplies, basic technology support and organizing team days.
  2. IT Skills: Having a good level of IT skills, particularly Microsoft Office 365 and the ability to quickly get confident with new software.
