Job Summary:

We are seeking a highly organized and detail-oriented Facilities Operations Coordinator to join our team at Randstad Construction and Property. As a key member of our facilities management team, you will be responsible for providing administrative support and ensuring the smooth operation of our facilities.

Key Responsibilities:

  • Main point of contact for clients and stakeholders, providing exceptional customer service and communication
  • Organize and manage subcontractors, including their processes and updates, to ensure timely completion of work orders
  • Raise purchase orders for subcontractors and close off jobs for engineers
  • Manage reactive and planned maintenance work orders, ensuring minimal work-in-progress levels
  • Assist with reporting on jobs logged, completed, and outstanding, and collate figures for monthly KPI reporting
  • Complete engineers' timesheets, file, scan, and track paperwork, and log overtime and holidays for weekly reporting
  • Provide general administrative support, including data entry, filing, and other tasks as required

Requirements:

  • Strong administration and customer service skills, with experience working in a facilities management environment (desired but not essential)
  • Knowledge of Microsoft Office packages and ability to learn new systems quickly
  • Strong planning and organizational skills, with attention to detail and ability to prioritize tasks effectively
