About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Macildowie Recruitment and Retention. As an Administrative Support Specialist, you will play a crucial role in supporting our Directors and the wider team in the efficient running of the office.

Key Responsibilities
  • Personal Assistant to Directors: Provide administrative support to our Directors, including diary management, correspondence, and ad-hoc duties.
  • Client Engagement: Manage the maintenance and retention of engagement letters, identification, and anti-money laundering information for all clients.
  • Reception Duties: Perform reception duties, including meeting and greeting clients, offering refreshments, and managing the phone system.
  • Secretarial Duties: Handle secretarial duties, including the typing up of accounts and preparation of all engagement letters.
  • Compliance and Governance: Oversee GDPR management and ensure compliance across the office.
  • Financial Administration: Prepare monthly and quarterly dividends and minutes as required by directors.
  • Client Billing and Payment: Manage all company billing, updating of registers, and client payment processing.
  • Document Management: Assist with submission of accounts to Companies House and HMRC and manage client document retention and archiving.
  • Communication and Liaison: Liaise with financial advisors, solicitors, and mortgage lenders to prepare necessary documentation.
  • Office Management: Monitor and order office supplies and assist in identifying IT equipment needs.
  • Ad-Hoc Duties: Assist with ad-hoc duties, including post office runs and banking tasks.
Requirements
  • Exceptional Client Service: Passionate about delivering exceptional client service and maintaining high standards.
  • Excellent Communication Skills: Excellent communication skills, both verbal and written, with a confident and approachable demeanor.
  • Technical Skills: Highly proficient in Microsoft Office Suite and IT systems.

  • Administrative Experience: Previous experience in a similar administrative role is advantageous.
