Candidates should be proactive, passionate, and systematic. At Chelsea and Westminster Hospital NHS Foundation Trust, we offer a well-defined and structured career advancement pathway, with numerous diverse opportunities within this field. Candidates must hold the Accredited Clinical Coding (ACC) qualification, possess demonstrable coding experience across various specialties, and have a solid understanding of HRGs, enabling them to manage the most intricate and challenging coding tasks. Other essential competencies include outstanding written and verbal communication skills to effectively engage with clinical coders, auditors, clinicians, and management.
Key Responsibilities
1. Communication and Technical Proficiencies
- Ensure comprehensive documentation of guidelines and regulations pertaining to the application of ICD-10 and OPCS-4, providing guidance across relevant divisions in their application and interpretation. Collaborate with the Clinical Coding Team Manager and Clinical Coding Trainer to deliver training and support to junior staff, particularly in specialized areas.
- Continuously strive for 100% data quality and completeness in alignment with deadline targets. Recognize the significance of complex Payment by Results (PbR) rules and HRGs in this context, assisting team members in understanding these principles.
- Support the audit team in engaging with external complex audits as necessary and contribute to an ongoing internal audit program, liaising with senior clinicians to review clinical coding information within case notes and recorded data.
- Assist the Clinical Coding Team Manager in scrutinizing data capture that impacts on PAS and coding, supporting quality assurance where relevant.
- Encourage engagement between coders and clinicians.
- Comprehend the implications of coded data on the Trust's operational aspects, providing information and advice to all healthcare professionals and administrative staff regarding the nature and complexity of clinical coding and its relevance to patient care, clinical governance, clinical audits, finance, budgeting, data quality, and research.
2. Policy and Process Management
- Provide specialized knowledge in areas of expertise to coding teams, including auditors and managers. Access, research, and reference all pertinent clinical documentation in complex areas and provide feedback accordingly.
- Ensure all relevant coding personnel are trained in the timely collection and submission of case notes and/or discharge information required for coding. Ensure coders can deliver a flexible coding service for their designated areas and understand the flow of patient discharge information through the Trust's information systems.
- Advise the Clinical Coding Team Manager on organization and processes in areas of expertise and assist in providing coverage for colleagues.
- Liaise closely with clinicians to validate clinical information, ensuring the quality of coded data for specialized services and areas of high complexity using expertise and knowledge within the designated area.
3. Training and Quality Assurance
- Ensure understanding of complex national rules and conventions, advising the Clinical Coding Team Manager on appropriate attendance at relevant workshops, both internally and externally.
- Ensure compliance and proficiency in the use of the coding encoder system Medicode and all clinical information feeder systems such as Evolve, CMiS, and BadegerNet.
- Assist in resolving data quality issues related to inconsistencies impacting coding accuracy, ensuring that errors are reported and rectified as necessary.
- Support the coding management and team in streamlining efficient processes that facilitate accurate data collection through clinical engagement and collaboration with senior managers and staff within divisions.
- Advise on changes in processes and service delivery within divisions, alerting the management team as appropriate.
- Regularly report on the status and performance of uncoded data within areas of responsibility.
- Assist senior managers in presenting complex coded data and provide guidance during audits conducted in specialized areas; support the implementation of error correction and process improvements arising from these audits.
- Assist management in areas of expertise where clinical input and research have informed practices.
- Participate in training and monitoring new staff in both technical coding and processes.
4. Additional Responsibilities
- Provide coverage for colleagues as necessary.
- Represent senior coding managers in internal and external meetings when required.
- Undertake any other duties as requested that align with the role's responsibilities.
- Promote awareness of data confidentiality issues within the Trust.
- Actively promote the understanding of clinical coding, its processes, and applications to all relevant staff within the Trust and beyond as necessary.
- Participate in achieving monthly deadline targets, ensuring high standards of completeness, timeliness, and accuracy. Ensure personal targets are met.
- Lead the development of processes in specialized areas and advise senior coding management on best practices.
- Engage in coder/clinician multidisciplinary teams to validate clinical information and coded data in complex and high-cost areas that impact national outcomes, indicators, Trust reputation, and income.
