Facilities and Operations Coordinator

We are seeking a highly organized and customer-focused individual to join our team as an Office and Services Manager at Ethical Property Company. This is a busy and demanding role that requires a strong ability to multitask, prioritize, and work effectively in a fast-paced environment.
Key Responsibilities- Coordinate and administer various tasks, including tenant queries, email inquiries, and maintenance requests.
- Ensure that the Code of Practice 2 (COPs) for each centre is up to date and maintained.
- Manage contact information for tenant representatives, first aid, and fire marshals.
- Assist with finance procedures, including petty cash.
- Coordinate the administration for tenant Centre Management Group meetings.
- Work with tenants and the Centre Manager to facilitate effective synergy programs.
- Manage the line of cleaners in the South East cluster, including annual leave, sickness cover, disciplinary, appraisals, training, and recruitment.
- Monitor and assist in the development of social and environmental performance of the centres.
- Excellent customer care skills with a commitment to providing a good service to tenants and building users.
- Good IT skills, particularly Microsoft Office software.
- Previous experience in a similar post.
- Organizational skills and the ability to prioritize work, multitask, and remain flexible.
- Ability to act quickly and effectively using initiative.
- Team player with good communication skills.
- Professional standard of presentation and communication.
- Ability to motivate and support staff while delivering own workload.
- Health and Safety awareness and knowledge.
- Knowledge and interest in social and environmental issues, particularly recycling.
- Full-time, permanent role with a three-month probationary period.
- 37.5-hour week, working five days a week, Monday to Friday, between 9 am and 6 pm, with some occasional evening/weekend work.
- Gross salary £35,000 to £37,000 a year (inclusive of London Weighting Allowance of £3,072 a year).
- 25 days holiday entitlement pro-rata, plus statutory bank holidays.
- Company contribution up to 7% to a pension dependent on scheme choice.
