Job Overview

We are looking for a dedicated and motivated Healthcare Reception Supervisor to join our team. This role is a blend of administrative leadership and patient interaction, focusing on the efficient operation of our practice while ensuring a welcoming environment for patients.

The ideal candidate will be instrumental in fostering effective communication among our healthcare professionals and enhancing the overall functionality of the practice.

Main Responsibilities

The primary duty of the Healthcare Reception Supervisor is to facilitate the seamless operation of our busy medical practice. This diverse role encompasses various administrative and clinical tasks, allowing our healthcare providers to concentrate on patient care.

The successful applicant will either possess or be willing to pursue the necessary qualifications for this position.

The Reception Supervisor's key responsibilities include managing and developing the reception team to ensure they provide courteous and efficient service to patients, assisting them in accessing the appropriate healthcare services. Additionally, this role involves providing high-level administrative support to the Practice Manager and Partners, while maintaining a positive and professional image for staff, patients, and visitors.

Our team comprises experienced healthcare professionals who are supported by a skilled administration and management team, all dedicated to maintaining strong relationships with external healthcare services.

Key Responsibilities

Healthcare Assistant Duties:

  • Coordinate referrals on behalf of clinicians.
  • Complete essential forms for clinician approval.
  • Assist clinicians in liaising with external organizations.
  • Support the Practice Manager in achieving quality targets.
  • Organize regular multidisciplinary team meetings.
  • Perform tasks as assigned by the Practice Manager and GP Partners.

Reception Supervisor Duties:

  • Oversee daily operations of the reception team.
  • Provide support to team members in challenging situations.
  • Lead by example to foster a positive work environment.
  • Address minor patient complaints effectively.
  • Greet patients warmly upon arrival and manage patient flow during consultations.
  • Handle incoming calls and respond to inquiries appropriately.

Qualifications

Essential:

  • GCSE Level or equivalent in Mathematics and English.
  • Proficient in computer use, particularly Microsoft applications.
  • Experience in a healthcare setting, preferably within a GP practice.
  • Demonstrated experience in team leadership.
  • Understanding of GDPR and confidentiality protocols.

Desirable:

  • Completion of a GP Assistant Certificate or willingness to undertake training.
  • Customer Service Qualification (NVQ) or equivalent.
  • Familiarity with EMIS Web and primary care environments.
