Job Title: Service Account Coordinator

Job Summary:

We are seeking a highly organized and detail-oriented Service Account Coordinator to join our team at Marlowe Kitchen Fire Suppression. As a Service Account Coordinator, you will be responsible for ensuring the smooth operation of our customer maintenance programs, including preparing and scheduling maintenance jobs, setting up new contracts, and maintaining accurate records.

Key Responsibilities:

  • Prepare and schedule maintenance jobs for our scheduling team to process, ensuring timely completion and customer satisfaction.
  • Set up new maintenance jobs and contracts for new sites, ensuring accurate and up-to-date records.
  • Enter data into our CRM system with precision and attention to detail.
  • Raise supplier purchase orders as needed, ensuring timely delivery and customer satisfaction.
  • Liaise with internal teams and engineers to ensure timely completion of maintenance jobs and customer satisfaction.
  • Answer incoming calls and respond to customer inquiries in a professional and courteous manner.
  • Deal with customer queries and resolve issues in a timely and professional manner.
  • Prepare weekly reports on customer accounts, ensuring accurate and up-to-date records.
  • Prepare RAMS and permits as required, ensuring compliance with regulatory requirements.
  • Maintain customer portals as required, ensuring accurate and up-to-date records.
  • Send completion documentation to customers, ensuring timely and accurate delivery.
  • Raise invoices for completed maintenance jobs and remedial works, ensuring timely and accurate delivery.
  • Review stock levels for engineers on jobs, ensuring timely and accurate delivery.
  • Perform general administrative duties as required, ensuring timely and accurate completion.

Requirements:

  • Excellent communication skills, both written and verbal, with the ability to communicate effectively with customers and internal teams.
  • Highly organized with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Calm under pressure, with the ability to work effectively in a fast-paced environment.
  • Confidence in working to meet deadlines, with the ability to prioritize tasks and manage multiple projects simultaneously.
