Job Purpose: To deliver comprehensive clerical and administrative assistance for the daily operations of the designated Service. Collaborate effectively as a member of a dynamic administration team.

Key Responsibilities:

  1. Provide complete administrative support to the Service on a daily basis, whether working remotely or on-site.
  2. Accurately enter data and referrals into the electronic database SystmOne, ensuring client confidentiality is maintained at all times.
  3. Possess a solid understanding and proficiency in Microsoft Office applications.
  4. Handle and direct telephone inquiries appropriately from various sources, including those with potential communication barriers.
  5. Document telephone messages in writing and respond promptly to urgent matters as necessary.
  6. Manage electronic calendars and schedule client appointments for team members.
  7. Perform general office tasks such as photocopying, faxing, and distributing mail as required.
  8. Work collaboratively as part of a team to provide coverage for other administrative personnel when needed, demonstrating flexibility in working hours to accommodate service requirements.
  9. Maintain a customer-focused approach on behalf of the service, ensuring that all interactions at the reception are welcoming and supportive.
  10. Plan and organize work independently within established departmental guidelines.
  11. Undertake any additional responsibilities as assigned by the Admin Team Leader and/or Team Manager.
