Position Overview

We are seeking a dedicated Estates Administration Assistant to join our team at Ashford & St. Peter's Hospitals NHS Foundation Trust.

Key Responsibilities

  • Aid in the oversight, organization, and scheduling of both planned preventative maintenance (PPM) and reactive tasks for in-house personnel and external contractors.
  • Assist in the management and functionality of the Computer Aided Facilities Management (CAFM) system from an operational maintenance standpoint.
  • Effectively communicate plans, schedules, and requirements from stakeholders, primarily clinical colleagues, ensuring feedback and follow-up checks are conducted as per established timelines.
  • Maintain a comprehensive register of contracts and contractors, coordinating regular meetings between estates management and the supply chain to review contractual obligations, quality standards, and service level performance.
  • Operate within departmental policies and procedures, escalating issues to the Estates CAFM Scheduler when necessary.
  • Manage procurement orders on behalf of the estates engineering operational team.
  • Provide coverage for Estates CAFM Scheduler during their absence.
