JOB TITLE: Operations Support Coordinator

LOCATION: Liverpool Airport

SHIFT PATTERN: 5 in 7, 40 hours per week

SALARY: £26,000.00 per annum

Main Duties & Responsibilities:

The Operations Support Coordinator will play a vital role in assisting the Management Team and Operations by executing various administrative functions to ensure compliance with established Service Level Agreements (SLAs). This position offers the chance to engage with prestigious clients in the aviation sector while thriving in a dynamic work environment. The selected candidate will also be trained to cover for the ID Pass Administrator during absences, ensuring seamless operations.

  • Addressing payroll inquiries
  • Documenting payroll discrepancies
  • Examining employee pay statements for errors
  • Managing holiday requests, including approvals and denials
  • Overseeing the Time and Attendance system, including tracking and reporting on lateness, absences, sickness, and compassionate leave
  • Maintaining precise records of all lateness and absences, escalating concerns to the Operational Team for further investigation as necessary
  • Handling passenger/client communications throughout the complaint resolution process
  • Responding promptly to information requests from Clients and Management
  • Ensuring adherence to relevant complaint handling timelines
  • Collaborating with Operational Teams to facilitate early complaint resolution and documentation
  • Investigating and addressing formal complaints within agreed SLAs
  • Managing all correspondence efficiently
  • Providing accurate analysis of all feedback received
  • Ensuring meticulous recording of all feedback
  • Assisting the Training Manager in maintaining accurate records of employee training sessions and organizing training as directed
  • Digitally archiving documents to employee electronic personal files
  • Providing coverage during holidays and absences for the ID Pass Administrator and supporting during peak operational demands

ID Pass Administrator Key Responsibilities:

  • Processing internal and external applications through the ID verification process
  • Proactively communicating with applicants to ensure timely completion of references within the SLA timeframe
  • Compiling a comprehensive 5-year credible history check, which may involve liaising with applicants for additional details from governmental authorities
  • Possessing a thorough understanding of UK eligibility checks, including visa regulations
  • Timely submission of weekly reports regarding ID pass applications
  • Proactively identifying applicants nearing expiration and managing renewals
  • Effectively overseeing all applications from initiation to completion
  • Adhering to GDPR 2018 legislation by managing document administration
  • Ensuring commitment to data accuracy and legal compliance in accordance with GDPR
  • Building strong relationships with the ID Center and internal departments
  • Ensuring that GSAT and/or DBS requirements are fulfilled by applicants in a timely manner
  • Collaborating with the training team to ensure compliance training is completed
