An exceptional opportunity has emerged for an Administrative Support Specialist within Ward 2. This vibrant and fast-paced male ward focuses on addressing complex mental health requirements. The team comprises a full multidisciplinary approach dedicated to delivering high-quality, compassionate care that fosters independence and recovery for individuals with mental health challenges.

The ward provides a comprehensive induction program. Training and skill development within the administrative domain, along with ongoing support and professional growth, will be customized to align with your unique requirements.

Ideal candidates will possess a calm demeanor, strong organizational skills, and a motivated attitude, complemented by a positive, mature, and adaptable work ethic. The role involves interaction with patients and their families, making excellent communication skills essential.

This is a full-time position requiring a commitment of hours per week.

Key Responsibilities

The primary responsibility is to deliver a thorough clerical service to the ward, ensuring that all tasks are executed accurately and efficiently while maintaining confidentiality.

The successful candidate will be an integral member of the ward team, responsible for overseeing all non-clinical patient facility services within the ward area, ensuring a clean, safe, and comfortable environment to enhance the patient experience.

Key aspects of this role include:

  • Conducting daily assessments of the ward environment to uphold quality standards, reporting deficiencies, and taking appropriate actions.
  • Ensuring the provision of cleaning, catering, and minor maintenance services, along with other specified tasks to meet individual patient needs.

Job Duties

The role requires a flexible approach, recognizing changing priorities throughout the day due to the dynamic nature of a busy service.

Responsibilities include:

  • Ensuring accurate and efficient allocation, recording, and dispatch of mail.
  • Receiving telephone calls, referring to nursing staff, or taking/allocating messages as necessary.
  • Managing documentation and email correspondence in accordance with policy.
  • Producing correspondence and other required documentation.
  • Photocopying, collating, and distributing documents as needed.
  • Maintaining high cleanliness standards in all areas, assisting in monitoring cleaning standards on the ward, tidying bed areas, conducting regular cleanliness audits, and providing reports to the Ward Manager.
  • Assisting in Patient-Led Assessments of the Care Environment (PLACE) inspections.
