We are seeking a skilled and friendly Receptionist to join our team at Exeter University. As a key member of our onsite team, you will provide an excellent and comprehensive reception service to students and office staff, ensuring a warm and welcoming environment for all.

Your responsibilities will include operating the reception desk and switchboard, managing a computerised system for monitoring reactive and planned maintenance work, and assisting with the recording of planned and statutory maintenance, procurement of goods, and administration of invoices and personnel records.

This is a permanent, full-time position working 37.5 hours per week, 5 days out of 7. The reception operating hours are 8am – 11pm Monday to Sunday. The salary is circa £23,482 per annum.

Key responsibilities:

  • Provide exceptional customer service to students, staff, and visitors, responding to queries and resolving issues in a timely and professional manner.
  • Assist managers in coordinating on-site activities, day-to-day administration, and complete regular reporting.
  • Liaise with the university client, sub-contractors, UPP staff, and residents to support with all queries and ensure seamless communication.
  • Assist in procurement of goods and services via the purchase system, producing purchase orders and processing invoices.
  • Maintain all technical and statutory records and personnel records held on site.
  • Manage and monitor out-of-hours access to the residence, ensuring compliance with fire, health & safety procedures, and any relevant residence instructions.
  • Operate a computer-based property management database, monitoring all planned and reactive maintenance works.

We are looking for: an individual with great communication and administration skills, comfortable working with databases and spreadsheets. You will have a passion for working as a team to deliver an excellent service, always being helpful and welcoming to our students, staff, and visitors.

You will also be flexible to work (with notice) to cover additional hours when needed, especially during main student arrival and departure weekends.
