Position Overview

The Planning Services Customer Support Specialist plays a vital role in assisting the Planning Department by delivering exceptional customer service and administrative support.

Key Responsibilities

As a member of the customer service team, your responsibilities will include:

  • Managing Planning Applications: Register various planning applications and inquiries into the planning database.
  • Issuing Notifications: Distribute planning decision notices to relevant parties.
  • Conducting Property Searches: Perform thorough property searches for local authorities within designated areas.
  • Handling Inquiries: Respond to and filter planning-related telephone calls, directing them to the appropriate personnel as needed.
  • Providing Assistance: Aid the public and other callers with general planning inquiries, offering guidance and directing them to relevant resources.
  • Processing Payments: Accept planning application payments both over the phone and in person.
  • Data Compliance: Conduct data checks on public access to ensure adherence to regulations.
  • Document Management: Scan and archive planning documents to maintain organized records.
  • Updating Planning History: Replot historical planning files onto the database to ensure a comprehensive planning history.
  • Meeting Participation: Attend and contribute to Planning Administration Meetings and other relevant gatherings.
  • Database Management: Analyze the planning register and database to provide accurate information to those reviewing planning applications.
  • Website Content Management: Assist in reviewing and updating public content on the organization’s website.
  • Generating Reports: Help in creating weekly lists of planning applications.
  • Administrative Support: Provide necessary administrative assistance to planning officers as required.
  • GIS Mapping: Identify and plot planning constraints using GIS mapping systems.
  • Committee Support: Offer assistance during Committee Meetings and Member Site Visits, including clerking duties.
  • Preparation of Materials: Prepare plans, reports, and presentations for Planning Committee under the guidance of the Planning Services Supervisor.
  • Additional Duties: Undertake any other responsibilities as directed by the Planning Services Supervisor and Head of Development Management.
Qualifications

The ideal candidate will possess:

  • Intermediate computer skills with proficiency in Microsoft Office and SharePoint.
  • Knowledge of the Town & Country Planning System.
  • Experience using GIS mapping systems.
