Job Summary

We are seeking a highly organized and customer-focused Facilities Assistant to join our team at Suntory Beverage & Food GB&I. As a key member of our Operations and Facilities team, you will provide exceptional front-of-house service, ensuring a seamless experience for staff, visitors, and contractors.

Key Responsibilities
  • Process and manage facilities requests, working closely with the Director of Risk and Operations, Facilities Coordinator, and EHS Officer to meet performance requirements.
  • Administer the Facilities Help Desk Tracker, maintaining accurate records and ensuring timely responses to requests.
  • Deliver against assigned tasking and actions, demonstrating accountability and ownership in meeting KPI and SLA standards.
  • Provide exceptional customer service at the reception desk, greeting visitors, issuing security passes, and maintaining a professional and welcoming environment.
  • Monitor and maintain stationery supplies, ensuring a well-stocked and organized workspace.
  • Offer administrative support to the Operations, Facilities, and Risk team, providing accurate and timely assistance as needed.
  • Ensure the tea point and vending machine areas are replenished daily, maintaining a clean and comfortable environment for staff and visitors.
  • Maintain departmental data, update home pages, and assist with hosting meetings and events.
  • Process incoming and outgoing mail, including Royal Mail post and courier collections and deliveries.
  • Exercise judgment to identify concerns requiring escalation to management in a timely manner.
  • Assist with prioritizing facility and operations enquiries, processing tasks daily, and managing mailroom and registered post.
  • Check and maintain hire and lease vehicles, following designated processes and instructions.
  • Take preventative action to safeguard company assets, adhering to health and safety standards and protocols.
  • Comply with health and safety regulations, reporting any concerns or hazards to management.
  • Work within designated budgets for stationery items, ensuring cost-effective and efficient use of resources.
  • Fulfill First Aid and Fire Marshall roles, maintaining certification and adhering to company protocols.
Requirements
  • Proven experience in delivering front-of-house and reception services, with a strong understanding of reception duties.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with staff, contractors, and visitors.
  • Ability to work in a fast-paced environment, prioritizing tasks and managing multiple requests.
  • CCTV operation experience is desirable, but training will be provided.
  • Fire Marshall and First Aid certification is required.
