Overview

The role of the Pension Administration Expert is crucial to the effective management of our Reward and Benefits framework, focusing on the oversight and enhancement of our pension schemes and associated resources.

This position entails the daily management of the company's pension programs, ensuring accurate calculation and processing of contributions through payroll on each designated payday. The role also emphasizes the continuous improvement of processes and innovative strategies to elevate pension awareness across the organization.

This is an independent position within a team that includes five other professionals dedicated to Reward and Benefits.

Key Responsibilities

Daily Pension Management

Execute comprehensive pension administration, guaranteeing precise calculations of contributions for each scheme on the appropriate payday. Ensure timely processing of any mid-month adjustments, including maternity leave, long-term illness, pay modifications, and contribution changes. Maintain the accuracy of our HR & Payroll system with relevant data updates. Administer any unique arrangements according to specific requirements. Address pension-related inquiries from staff, compiling frequently asked questions and standard responses for dissemination. Collaborate effectively with HR, Payroll, and Finance teams to ensure clear and timely communication. Monitor communications from pension providers and take necessary actions as needed. Submit pension contributions to the appropriate providers and initiate payment requests in accordance with their timelines.

Proactive Pension Activity Management

Recognize areas for improvement and spearhead the development and implementation of new processes, consistently seeking to streamline operations. Create and update correspondence templates, record-keeping formats, policies, and procedural notes, ensuring continuous enhancement and adaptation to changes.
• Actively pursue best practices and evidence to support ongoing development of the reward and benefits strategy, staying informed on market trends, particularly in pensions. Oversee the payroll calendar and proactively manage required activities, including year-end processes, cyclical auto-enrollment, and annual reporting as necessary. Collaborate with the Systems Administrator to maintain pension functionalities within the HR & Payroll system. Continuously seek opportunities to enhance service delivery and exemplify outstanding customer service.

Integrating Pensions into Our Reward & Benefits Strategy

Foster employee understanding and awareness of pension benefits within the broader context of our Reward and Benefits strategy. Engage with external partners as needed to explore various methods and resources to enhance pension knowledge.

Additional Responsibilities

Provide supplementary support for the administration of broader company benefits as required. Conduct data analysis as necessary. Undertake any other reasonable duties as assigned.

Required Skills & Experience

Essential

A foundational qualification in pensions, such as a Certificate or Diploma in Pensions Administration, or actively pursuing one. Comprehensive knowledge of pensions, including statutory regulations and various scheme types. Proven experience in designing and executing all facets of pension administration and related statutory obligations. Demonstrated ability to streamline processes to achieve desired outcomes. Experience handling complex data sets and diverse terms and conditions. Familiarity with multiple pension schemes, including auto-enrollment and salary sacrifice, across various payrolls. Strong data management skills, with advanced proficiency in Microsoft Excel. Excellent verbal and written communication skills, comfortable engaging with stakeholders at all levels. A naturally inquisitive and analytical mindset, with exceptional organizational skills and attention to detail. A resilient self-starter who can work independently but also thrives in a collaborative environment. A passion for investigations and providing well-considered recommendations. A personable approach with a commitment to delivering exceptional customer service.

Highly Desirable

Accreditation from the Pensions Management Institute. Familiarity with Resource Link is advantageous. Knowledge of NEST and Scottish Widows Pension Schemes.
