Overview

The role of a Pension Administration Expert is crucial in delivering our Reward and Benefits framework, focusing on the management and enhancement of our pension schemes and related information.

This position entails overseeing the daily operations of the company’s pension plans, ensuring accurate calculation and processing of contributions through payroll on scheduled paydays, while also continuously improving processes and seeking innovative methods to elevate pension education within the organization.

This is an independent role that collaborates with five other professionals within the Reward and Benefits Team.

Key Responsibilities

Daily Pension Management

Manage comprehensive pension administration, ensuring contributions are accurately calculated for each scheme and respective pay periods. Ensure timely processing of any in-month changes, such as maternity leave, long-term illness, pay adjustments, and contribution modifications. Maintain our HR & Payroll system with precise and up-to-date information. Administer any unique arrangements according to individual requirements. Address pension-related inquiries from colleagues, compiling frequently asked questions and standard responses for distribution. Collaborate effectively with HR, Payroll, and Finance Teams to ensure clear and timely communication. Monitor communications from pension providers and take necessary actions as needed. Submit pension contributions for each scheme to the respective pension provider and initiate payment requests according to their timelines.

Proactive Pension Activity Management

Identify opportunities for improvement and lead the development and implementation of new processes, consistently seeking ways to optimize existing practices. Create and maintain all correspondence templates, record templates, policies, and process documentation, ensuring continuous enhancement and timely updates.
• Actively pursue best practices and evidence to support initiatives for the ongoing development of the reward and benefits strategy, staying informed about market trends, particularly in pensions. Oversee the payroll calendar and proactively manage required activities, including year-end processes, cyclical auto-enrollment, re-certification, and annual reporting as necessary. Work alongside the Systems Administrator to maintain pension functionalities within the HR & Payroll system. Continuously seek opportunities to enhance service delivery and exemplify exceptional customer service.

Integrating Pensions into Our Reward & Benefits Strategy

Improve employee understanding and awareness of pension benefits within the broader context of our Reward and Benefits strategy. Collaborate with external partners as needed to explore diverse resources and methods to enhance pension knowledge.

Additional Responsibilities

Provide support for the administration of broader company benefits as required. Conduct data analysis as necessary. Undertake any other duties as reasonably requested.

Required Skills & Experience

Essential

A relevant pensions qualification, such as a Certificate or Diploma in Pensions Administration, or currently pursuing one. Comprehensive understanding of pensions, including statutory regulations, workplace pension reforms, and various scheme types. Proven experience in designing and delivering all aspects of pension administration and associated statutory obligations. Demonstrated ability to streamline processes to achieve desired outcomes. Experience managing various terms and conditions and complex data sets. Examples of working with multiple pension schemes, including auto-enrollment and salary sacrifice across different payrolls. Strong data skills, particularly with advanced Microsoft Excel knowledge. Excellent verbal and written communication skills, comfortable engaging with stakeholders at all levels. Naturally inquisitive and analytical, highly organized, detail-oriented, and driven for accuracy. Resilient, self-motivated, and able to work independently while also thriving in a team environment. Enjoys conducting investigations and providing recommendations for appropriate resolutions. Personable with a commitment to delivering outstanding customer service.

Highly Desirable

Accreditation from the Pensions Management Institute. Familiarity with Resource Link is a significant advantage. Knowledge of NEST and Scottish Widows Pension Schemes.
