5 hours per week, Monday to Friday with flexible hours between 08:00 - 18:00 and occasional Saturday shifts on a rota basis from 08:00 - 12:00.


22 days of annual leave, increasing to 23/25 days based on tenure, in addition to standard bank holidays. VMS Global is a rapidly expanding entity within the automotive sector, providing a comprehensive suite of services that includes Contract Hire & Fleet Management, Accident Management, and Maintenance Services through our in-house workshops. We are also a leading provider of transport refrigeration systems, air conditioning solutions, and the conversion of panel vans into commercial refrigerated vehicles.


With operations spanning nationwide, VMS Global boasts workshops and vehicle hire locations throughout the UK, with our central operations managed from a dedicated headquarters.


Due to our ongoing expansion, we are seeking additional team members to enhance our ability to deliver exceptional service to our clientele.

Role Overview:
The position of Fleet Operations Specialist requires a highly organized and personable individual. A strong attention to detail and self-motivation are essential to ensure that administrative processes are executed smoothly and efficiently.

Key Responsibilities:
The primary objective of the Fleet Operations Specialist is to meet the operational needs of the business while ensuring timely completion of tasks. This role encompasses a variety of responsibilities, primarily focused on managing fleet operations and overseeing customer short-term rental requirements.

  • Coordinate the booking and off-hiring of vehicles to address accident-related and staff rental needs through the fleet management system.
  • Assess current rental agreements and communicate findings to clients regarding extensions and terminations of hire periods.
  • Collaborate with the sales team to optimize fleet utilization.
  • Engage with suppliers and customers to gather information or inquiries regarding the timely delivery and return of rental vehicles.
  • Provide prompt resolution to all routine inquiries from internal and external stakeholders via phone and email.
  • Perform general administrative tasks as required.
  • Demonstrate proficiency in Microsoft Office, particularly Excel.
  • Exhibit excellent communication skills, especially over the phone.
  • Possess effective planning and organizational abilities.

Candidate Profile:
A willingness to learn and develop within a commercial environment where customer service and client satisfaction are paramount.

  • Demonstrated accuracy and efficiency in administrative tasks.
  • Previous administrative experience within the fleet industry.
  • Proof of eligibility to work in the UK, such as a passport or birth certificate along with a National Insurance number on an official document.
