Job Purpose

To deliver extensive research management assistance, administrative support, and procedural guidance to Project Coordinators and Principal Investigators throughout the institution, while promoting a robust customer service ethos.

To act as the primary liaison between institutional staff and the University Services Research Support Office, clarifying and executing administrative requirements and addressing issues to ensure effective research management support for Principal Investigators.

To provide administrative assistance to the College Research Office.

Main Duties and Responsibilities
  1. Deliver a proficient and effective research management support administrative service, utilizing initiative and judgment to prioritize, plan, and oversee administrative activities, ensuring a proactive approach to service demand fluctuations.

  2. Assist Project Coordinators and Principal Investigators with pre and post-award tasks. This may encompass, but is not limited to:

    • Supporting the preparation of funding proposals by generating precise cost estimates, compiling, and uploading necessary information and documentation.
    • Monitoring post-award spending against budgets and advising on the resolution of project and financial inquiries, bringing potential issues to the attention of Principal Investigators and Project Coordinators, and coordinating with the University Services Research Support Office to maximize fund claims from sponsors.
    • Implementing project modifications, such as requesting staff changes and processing budget adjustments, ensuring compliance with budgetary constraints and funder regulations, and updating University systems as necessary.
    • Generating exception reports from the research system to identify and address issues, escalating more complex matters to the Project Coordinator for review.
    • Supporting Project Coordinators and Principal Investigators with recruitment activities in accordance with institutional procedures and project change protocols.
    • Tracking application outcomes and reconciling and processing awards from sponsors, updating the system accordingly.
  3. Assist in the provision and analysis of data for the College Research Support Office, Principal Investigators, and Budget Holders.

  4. Contribute to the development, testing, and implementation of systems and procedures aimed at enhancing the performance of the College Research Support Office service.

  5. Maintain and ensure the integrity of relevant project data within University systems.

  6. Assist with ad hoc projects and other relevant responsibilities as required within the Research Support Service.

  7. Engage in continued professional development activities.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

  • A1 Ability to demonstrate the competencies required to undertake the duties associated with this post having acquired the necessary knowledge and skills in a similar role.
  • A2 Comprehensive knowledge and understanding of managing and manipulating data in spreadsheets.
  • A3 Familiarity with financial processes and systems.
  • A4 Understanding of administrative and support services.

Desirable:

  • B1 Knowledge of Higher Education research administration.
  • B2 Understanding of funding application processes and funder guidelines.

Skills

Essential:

  • C1 Proven interpersonal and communication skills, both written and verbal.
  • C2 Effective planning, organizing, and prioritizing skills with the ability to adapt to changing priorities or requirements.

Experience

  • E1 Experience in relevant research administration or a similar role.
  • E2 Experience in processing, manipulating, and analyzing data.
  • E3 Experience using financial and/or costing systems or in a related role.
  • E4 Experience in delivering a customer-focused service.
  • E5 Experience in establishing and maintaining working relationships across and beyond an organization.

Desirable:

  • F1 Experience in a Higher Education environment.
  • F2 Familiarity with research administration processes and funders.
  • F3 Experience in monitoring and interpreting budgets, with support from specialized staff.
  • F4 Understanding of Full Economic costing.
  • F5 Experience working with Agresso or a similar financial system.
Terms and Conditions

Salary will be Grade 5, £25,138 - £29,605 per annum. This position is full-time (35 hours per week) and open-ended (permanent).
