Position Overview

Key Responsibilities:

As a vital member of the regional Marketing team, reporting to the Senior Group Marketing Manager, the Marketing Assistant plays a crucial role in supporting the UKI marketing team with various initiatives, projects, customer events, and communications. This position entails providing administrative and logistical assistance for the planning and execution of marketing and sales events in collaboration with the events team. Additionally, the Marketing Assistant will aid the marketing team in the creation, approval, and distribution of marketing materials, as well as manage customer communications through digital platforms.

Event Coordination:

Assist the Marketing Events Specialist in organizing local customer events, including preparing speaker agreements, processing purchase orders, and ensuring compliance with established processes. Support the Marketing Events Specialist at tradeshows as needed. Provide logistical assistance to the sales team with Truck system bookings.

Marketing Communications:

Act as the primary contact and project coordinator for customer-facing marketing communication initiatives; collaborate independently and with cross-functional teams. Manage direct customer communications through digital channels. Initiate and oversee the content creation process, including adapting materials for the UK & Ireland markets. Collaborate with branding and design teams across Europe and globally. Serve as the main point of contact for all submissions via the Content Management System. Prioritize and manage multiple projects and tasks using project tracking systems and databases to ensure high-quality collaboration within the EU Marketing team and the US global creative team, including approved content, files, and descriptions. Work with the commercial and regional marketing teams on customer training events, including assisting with presentation communications as necessary.

Administrative Duties:

Coordinate logistics for the production and delivery of promotional materials for scheduled events, managing production within budget while collaborating with key vendors through a purchase order system. Create contracts, onboard new vendors, process purchase orders and invoices for events, and obtain managerial approval and signatures. Prepare and send speaker fee agreements and organize travel and accommodation arrangements as needed. Coordinate customer surveys, leads, and contacts to maintain accurate records within the CRM system and email marketing database.

Required Qualifications:

Apprenticeship or bachelor's degree or equivalent experience in event management or marketing, preferably gained in a dynamic international environment. Minimum of 1-2 years of experience in event management and/or marketing. Proficiency in English (spoken and written) is essential. Strong interpersonal, verbal, and written communication skills, with the ability to engage with various departments and customers (marketing, sales, market access, and healthcare professionals). Self-motivated with the ability to edit and update Microsoft Office, Adobe Acrobat, and HTML files, effectively utilizing content management systems and document control systems for approvals. Excellent organizational skills and the ability to work collaboratively in a team environment, providing cross-functional support. Strong project coordination skills, with the ability to organize, prioritize, and manage multiple tasks. Reliable, flexible, and detail-oriented. Willingness to travel up to 10%-15% as required.
