Are you a proactive, detail-oriented individual with a strong interest in strategic planning? We are looking for a meticulous and analytical PMO Planning and Resourcing Analyst to become a vital member of our Project Management Office at Charities Aid Foundation (CAF).

Key Responsibilities

At CAF, every team member plays a crucial role in our mission, and as our PMO Planner, you will be instrumental in supporting IT projects and transformation initiatives.

This position will report directly to the IT Portfolio Delivery Manager and will involve close collaboration with Project Managers, stakeholders, and our IT department.

You will utilize leading planning methodologies and tools to develop both short-term and long-term portfolio and resource strategies, serving as a bridge between the Project Management and IT Portfolio Teams.

As our PMO Planner, your responsibilities will include:

  • Collaborating with the Portfolio Team to maintain effective oversight of the IT change portfolio, ensuring a comprehensive 12-month Portfolio Plan that includes ongoing projects, backlog items, and new requests.
  • Ensuring the timely and accurate processing of schedule updates into the Portfolio Plan, maintaining version control.
  • Integrating the 6 and 12-month plans with a consolidated budget overview, tracking milestones and deadlines for ongoing projects and new initiatives, while engaging with cost centre owners to optimize resource allocation and project effectiveness.
  • Creating dashboards and conducting performance analysis across the entire portfolio.
  • Assisting in the formulation and upkeep of project plans, including identifying and monitoring interdependencies among projects.
  • Building strong relationships with project managers, internal stakeholders, and delivery partners to foster a collaborative approach to project and resource planning.
  • Contributing to the enhancement of project-related processes, methodologies, tools, templates, and systems to facilitate efficient project execution.

Ideal Candidate Profile

This role is suitable for individuals with experience managing large, dynamic portfolios or those with relevant transferable skills who are eager to make a positive impact. We are seeking candidates who:

  • Are adept at organizing their own tasks and those of others.
  • Can communicate effectively at all levels in clear, non-technical language.
  • Are comfortable challenging and validating plans to ensure accuracy.

Required Experience

  • Strong project and portfolio planning skills with a focus on both immediate and long-term objectives, along with experience using project management and planning tools such as MS Project.
  • A background in Portfolio Management, PMO, and Project Management.
  • Proven experience in project governance, methodologies, and controls.
  • High proficiency in the complete MS Office suite, particularly Excel and PowerPoint.
