The Property Maintenance Support Team is dedicated to delivering a premier service that is exceptional, consistent, and contemporary for both internal and external stakeholders. This role involves providing a high-performing support function for clients and team members while ensuring accurate record-keeping that embodies the vision and values of the organization.

Main Responsibilities:
  • Collaborate closely with Managers, Team Leaders, Planners, and Operatives within the Property Maintenance Teams (repairs, voids, gas, electrical) to deliver top-notch administrative support.
  • Ensure adherence to Property Maintenance policies, procedures, and timelines related to administrative support.
  • Oversee productivity and performance for yourself and your team, ensuring daily support tasks are executed efficiently.
  • Utilize Property Maintenance administrative systems to their fullest potential, ensuring that information is accurate, current, and communicated to other departments as necessary.
  • Exhibit high levels of customer service, addressing customer inquiries promptly and ensuring that customer needs are prioritized in decision-making.
  • Update Housing Management and Property Maintenance systems, including data entry, raising work orders, resolving queries, managing variations, and completing work orders with precise information within set deadlines.
  • Contact customers to gather and provide information, schedule appointments, and support compliance with legislation regarding gas servicing and electrical inspections.
  • Raise purchase orders and requisitions within the company’s finance system, following company and financial procedures, monitoring order progress, and assisting in the approval and completion process.
  • Provide administrative support in the procurement and daily management of the vehicle fleet to maintain an effective and efficient fleet service.
  • Assist in the collation and coordination of all HR and payroll-related information within specified deadlines.
  • Update the void tracking system, compile void packs and certifications, and ensure all completed repairs and SORs are entered into the system.
  • Work with the Property Maintenance Supply Chain to assist in ordering materials, replenishing van stock, tracking orders, and liaising with Planners and Team Leaders to meet contractual KPIs.
  • Understand and deliver outputs to achieve business metrics, operational KPIs, and targets.
  • Coordinate meetings, provide support, and take minutes during team meetings to ensure smooth operations and monitor action items.
  • Manage problem-solving and prioritize work while balancing customer needs, risks, and resource availability.
