Key Responsibilities

The primary responsibilities of the Administrative Support Specialist include:

  1. Managing and overseeing the appointment scheduling system.
  2. Processing appointment requests via various channels, including phone and electronic submissions.
  3. Handling incoming calls, ensuring appropriate transfer or resolution of inquiries.
  4. Guiding patients to the appropriate services based on their needs.
  5. Engaging with patients, team members, and external organizations to address requests and provide information.
  6. Utilizing healthcare data systems for accurate record-keeping and data entry.
  7. Updating patient records and managing new registrations as necessary.
  8. Directing requests for information to the relevant administrative personnel.
  9. Efficiently managing queries and ensuring a high standard of service.
  10. Conducting system searches as required.
  11. Maintaining a clean and organized workspace at all times.
  12. Overseeing the reception area and ensuring it is welcoming and informative.
  13. Assisting clinical staff with various tasks as needed.

Additional Duties

In addition to the core responsibilities, the Administrative Support Specialist may be required to:

  1. Participate in audits as directed.
  2. Provide coverage during staff absences.
  3. Scan and attach patient-related documents to electronic records.
  4. Follow opening and closing procedures as per the duty roster.

Qualifications and Skills

  • Completion of a Disclosure Barring Service (DBS) check.

Experience
