Position Overview

We are looking for a skilled Executive Personal Assistant to become a vital member of our Executive Administration Team, providing extensive office management and administrative assistance to the Chief Medical Officer and her Deputy. This role is essential for ensuring the efficient operation of the executive function.

The ideal candidate will possess substantial experience in a comparable role, preferably within a senior executive environment in the public sector. Familiarity with corporate governance and regulatory frameworks is advantageous, along with a proven history of effective office management, diary coordination, and committee oversight. We seek an individual who communicates clearly and effectively, demonstrating a commitment to delivering high-quality services with a proactive mindset.

This position is dynamic and demanding, requiring a flexible work approach, the ability to take initiative, and the capability to collaborate effectively within a larger team.

Key Responsibilities

The successful candidate will collaborate with team members to provide mutual support, ensuring the seamless operation of the executive function.

The role demands prior experience as a Personal Assistant, exceptional organizational abilities, and a high level of proficiency in Microsoft Office applications. The candidate must thrive under pressure, prioritize tasks effectively, and meet deadlines. You will be expected to operate independently, addressing matters on behalf of those you support, and making informed decisions with flexibility.

Strong communication skills, both written and verbal, are essential. The post holder will liaise with internal staff and external contacts, representing the organization professionally. Responsibilities include managing diaries, emails, and organizing meetings for the supported executives. Experience in preparing agendas and taking minutes for high-level meetings is required.

Essential Skills

  • Proficient numeracy and literacy skills
  • Clear communication abilities in both verbal and written formats
  • Strong keyboard and computer skills, with a working knowledge of Microsoft Office applications including Outlook, Word, and Excel

Educational Background

Essential Qualifications

  • GCSE level education or equivalent, including English and Mathematics
  • Computer qualification (ECDL or equivalent)
  • Typing qualification - RSA III or equivalent

Desirable Qualifications

  • General Secretarial qualification or currently pursuing such a qualification

Experience Requirements

  • Proven experience in minute-taking and diary management, including inbox management
  • Experience in collating meeting materials and preparing agendas

  • Background in an Executive Office setting, preferably within a healthcare context
  • Previous experience in an NHS office environment
